Dealers' Den Policy

General

  • Dealers’ Den is a place for vendors, artists and publishers to sell prints, crafts, arts and other items marketable to the Furry Fandom.

  • Sales in the Dealers’ Den are permitted only to registered dealers and their assistants in their designated space.

  • Dealer is the single person responsible for the dealership and the authority for questions from the staff. Each dealer (and their assistant) can run only one dealership, with a valid Awoostria registration.

  • The Dealer Assistant is a person working in a dealership, supporting the dealer while having the same access and sale privileges as the dealer themselves. Every Dealer can have one assistant at a time, however assistant status can be transferred from one person to another.

  • Each vendor can apply for the same type of table, with the same table fee applied to it. Table spots are fixed, therefore removing, or moving tables without notifying Dealers' Den Management is prohibited. However, chairs and tables can be removed after approval of Dealers’ Den Management.

  • Electricity is available for every table for low power consumption devices.

  • To be able to register into Dealers’ Den, registration for the convention is mandatory. After approval, vendors can apply for a table in Dealers’ Den or After Dark Dealers’ Den (18+ merchandise). Applications will be reviewed by the Dealers’ Den Management, approved, or declined. Valid Dealers’ Den registration is after paying the table and registration fee within 14 days of accepting the application. In case payment is not made, registration to Dealers’ Den is cancelled.

  • Every vendor initially not accepted will be placed on a waiting list. If a spot in Dealers’ Den becomes available, the next dealer in queue will be contacted.

  • Once Dealers’ Den registration is valid and paid, it is not possible to refund or cancel the registration, however, packages can be transferred from one dealer to another dealer on the waiting list. Transfer must be made with approval of Dealers’ Den Management. Transfer cannot be made to dealer already approved (increasing number of tables of already approved dealer)

  • Items and services in violation of rules or laws must not be offered. Adult material is only displayed in After Dark Dealers’ Den.

  • Dealership build-ups must not reach into other dealerships or walkways. The Maximum height of displayed merchandise is 2 meters above the table, the setup must be secured and stable to prevent it from falling over.

  • Dealers’ Den Staff Management decisions are final.

  • Dealers’ Den Management reserves the right to revoke dealer status, dealer assistant status, dealerships, access to Dealers’ Den and other granted privileges at any time for any reason without refund.

Obtaining a Dealership

Applying

  • The dealership application period for the Awoostria Convention will open on November 10th, alongside general registration. Applications will be accepted for four weeks; however, if we receive a high volume of dealer registrations, the period may close early. Should an early closure be necessary, we will provide a minimum of 48 hours' notice.

  • To be eligible for registration as a dealer previous registration for Awoostria Convention is mandatory. Dealership applications without valid previous event registration will be cancelled.

  • After applying for Dealers’ Den, an application form will be sent out. Please carefully read it, fill it out and send it.

  • The Dealers’ Den Management will review each application, and an email with your status whether approved, denied, or waitlisted will be sent to you. Once accepted into the Dealers’ Den, you’ll need to pay the table fee based on your chosen table size (single or double).

  • Each dealership is expected to be fully aware and take responsibility to be compliant with laws, handle their taxes and declarations.

Approval

Each application will be reviewed by Dealers’ Den Management and then accepted or declined. Acceptance will be based on a variety of factors, such as:

  • Merchandise and its relevance to furry fandom

  • Quality of offered items

  • Number of other dealers offering same items or services

Application forms must be filled out completely in order to be reviewed and accepted or declined.

Payment

After dealership approval, the dealer is required to pay the table and registration fee within 14 days.

If payment is overdue, Dealers’ Den Management may cancel the application and offer the space to the next dealer on the waiting list.

All transactions are handled in EUR. Fees must be paid via credit or debit cards through Awoostria registration system. Don’t ever send any credit card information via email!

Waiting list

Dealers not initially accepted will be placed on a waiting list.

If a dealership space becomes available due to cancellation of another dealer, the next dealer on the waiting list will be contacted.

The response time will be limited to one week, after which, if no response is received, a spot will be offered to the next dealer in line.

Merchandise guidelines

Items offered for sale in Dealers’ Den should be related to the theme of convention or should have appeal to furries and other attendees of Awoostria. Typical items for sale are art commissions, artworks, prints, plushies, fursuit accessories, etc.

Items prohibited to sell and offer, as well as display, advertise or offer to giveaway include, but are not limited to:

  • Items made of real fur or animal body parts

  • Food and beverages

  • Weapons and weapon lookalikes

  • Any kind of drugs and medication

  • Items and symbols of forbidden organisations (Nazi symbols and others)

  • Items depicting paedophilia or zoophilia

  • Items depicting excessive violence, cruelty or rape

General guidelines

  • Awoostria is not liable for damages, injuries or loss incurred to or caused by any Dealer or Attendee

  • Actions and behaviours that endangers people or property is strictly forbidden and might result in permanent revocation of dealer status. In case someone witnesses such activity, Dealers’ Den staff or security should be contacted.

  • Every dealer is responsible for management of their table and time and are not required to be present all the time, however, constant presence is appreciated.

  • Tablecloths and/or similar cover ups are not provided by Awoostria.

  • Any tablecloth or decoration must be B1 certified.

  • Activities that cause dirt or contamination are not allowed.

  • Electricity is provided for the purpose of usage of personal devices and equipment of each dealer. Usage of devices with higher electricity consumption such as laminators, 3D printers etc. should be discussed and approved by Dealers’ Den Management.
